Privacy Policy
Effective: 31 August 2026
Menu Matrix is a restaurant operations platform for recipe costing, controlled Recipe Cards, menus, production, stock, purchasing, supplier pricing, training and related kitchen-management workflows. This policy explains how personal information is handled when people create or use a Menu Matrix account.
Information we process
We may process account information such as name, email address, authentication details and role assignments; organisation and store memberships; user-created operational content; recipe and dish photographs uploaded by authorised users; audit information relating to approvals, acknowledgements and operational actions; and technical information needed to secure and operate the service.
Why we use this information
Information is used to authenticate users, provide role-based access, operate restaurant-management features, preserve controlled operational audit trails, prevent misuse, maintain service security, support customers and improve reliability.
Business operational records
Recipes, controlled Recipe Cards, menus, stock records, purchase orders, goods receipts, production records, training acknowledgements and similar records generally belong to the relevant Menu Matrix organisation rather than to an individual employee. If an individual account is deleted, operational records may need to remain available to that organisation for legitimate business, security, audit, contractual or legal reasons. Where personal identification is not required for retention, it is removed, anonymised or minimised as appropriate.
Service providers
Menu Matrix uses infrastructure and technology providers to host the application, database, authentication, file storage and deployment services. Information is shared with service providers only as necessary to operate and secure Menu Matrix.
Data security
Menu Matrix uses authenticated access, store and organisation permissions, role-based controls and controlled server-side operations to reduce unauthorised access or modification. No internet service can guarantee absolute security, but safeguards are maintained proportionate to the service.
Retention
Personal information is retained only for as long as needed for the purpose for which it was collected, to operate the account, meet legitimate operational or security needs, resolve disputes, or satisfy legal and audit obligations.
Your choices and account deletion
Menu Matrix uses a controlled deletion-request process. Signed-in users can open Account → Privacy & account → Request Account Deletion. Pending requests can be cancelled before processing. Requests are reviewed before completion so that organisation ownership can be transferred where necessary and business records are not orphaned.
When an eligible request is completed, active Menu Matrix access and authentication identity are removed and personal profile information is anonymised or removed as appropriate. Operational records that must remain for legitimate business, security, audit, contractual or legal purposes may be retained, with personal identification minimised where retention does not require it. See the Account Deletion page for the process.
Privacy requests
Privacy, support and account requests can be initiated from the Menu Matrix Account workspace. The signed-in workflow helps verify that the request comes from the account holder before account data is changed or removed.
Changes to this policy
This policy may be updated when Menu Matrix features, legal requirements or service providers change. The effective date above will be updated when material changes are published.
